How to see how much data is in Citrix ShareFile

  1. Sign in to ShareFile as an admin
  2. Open Settings → Admin Settings → Admin Overview
  3. Note the Storage figure (used out of your limit)
  4. For a per-user breakdown, go to Account and Reporting → Reporting and run a Storage Summary report

Record storage used in GB plus the file count from the Storage Summary report; that report can only be run once a week.

How to get a copy of your Citrix ShareFile data

  1. Sign in at secure.sharefile.com as a Super User
  2. Select Shared Folders and open a top-level folder
  3. Click the top-left checkbox to select all content
  4. Click Download and save the ZIP
  5. Repeat for each folder, and for each user's personal folders

A Super User admin can open Shared Folders in the ShareFile web app, select all content in each top-level folder and click Download to get a ZIP. Personal folders are downloaded per user from the manage employees page.

Only files and folders are included. Permissions are not preserved, and ShareFile suggests web downloads only for about 500 GB or less.

Citrix ShareFile’s official export instructions

These instructions are written by DataFrenzy from each vendor’s public help pages. Menu names can vary by plan and change over time; the official link on each guide is the final word. Screenshots come from each vendor’s own help pages and videos or, where noted, from third-party tutorials credited under the image; dashed outlines are illustrations, not screenshots. Looking up a size or preparing an export never sends anything to DataFrenzy.
