Dynamics 365 Finance: see how much data you have, then export it.

Pick a system to see two things: how to check how much data is in it, and how to export a copy. No form, no sign-in.

Dynamics 365 Finance

Finance & ERP

How to see how much data is in Dynamics 365 Finance

  1. Sign in to the Power Platform admin center as an admin
  2. In the navigation pane, select Licensing → Capacity add-ons
  3. Select Finance and Operations
  4. Note the Finance and operations database usage for your production environment (click it for a per-table view)

Record the production environment's database usage, not the entitlement; sandbox copies are listed separately and can inflate totals.

How to get a copy of your Dynamics 365 Finance data

  1. Open System administration → Workspaces → Data management
  2. Create an export job and give it a name
  3. Add the data entities you need and pick a file format (Excel or delimited)
  4. Select Export (or Export now)
  5. When the job completes, download the files or the data package

Users with Data management access create an export job in the Data management workspace (System administration → Workspaces → Data management), add the data entities they need, and choose a format such as Excel or delimited text. When the job finishes, download each entity as a file or all of them as one package.

Exports cover one data entity at a time, so a complete copy means adding many entities. The job history is cleared automatically after 90 days by default.

Dynamics 365 Finance’s official export instructions

These instructions are written by DataFrenzy from each vendor’s public help pages. Menu names can vary by plan and change over time; the official link on each guide is the final word. Screenshots come from each vendor’s own help pages and videos or, where noted, from third-party tutorials credited under the image; dashed outlines are illustrations, not screenshots. Looking up a size or preparing an export never sends anything to DataFrenzy.
