Data guides
FreshBooks: see how much data you have, then export it.
Pick a system to see two things: how to check how much data is in it, and how to export a copy. No form, no sign-in.

How to see how much data is in FreshBooks
- Sign in to FreshBooks as the account owner
- Open Clients and note how many clients are listed
- Open Invoices and Expenses and note the totals for all time
- Note how many years of history the account holds
FreshBooks has no storage page; record counts of clients, invoices and expenses (plus receipts attached to expenses) instead.
How to get a copy of your FreshBooks data
- Sign in as the account owner
- Open Reports and choose a report (or open Clients, Invoices or Expenses)
- Set the date range
- Click More Actions → Export for Excel
- Save the CSV file
Account owners can export most data as CSV from each section (clients, invoices, expenses, items, vendors, chart of accounts). Any report can be exported with More Actions → Export for Excel, and expense receipts can be downloaded in bulk.
CSV exports of estimates and proposals aren't self-serve; you have to ask FreshBooks Support, who email the file. Invoice PDFs download separately from the CSV.
These instructions are written by DataFrenzy from each vendor’s public help pages. Menu names can vary by plan and change over time; the official link on each guide is the final word. Screenshots come from each vendor’s own help pages and videos or, where noted, from third-party tutorials credited under the image; dashed outlines are illustrations, not screenshots. Looking up a size or preparing an export never sends anything to DataFrenzy.
