Data guides
SAP: see how much data you have, then export it.
Pick a system to see two things: how to check how much data is in it, and how to export a copy. No form, no sign-in.

How to see how much data is in SAP
- Confirm which SAP product you use (e.g. Business One, Business ByDesign, S/4HANA)
- Ask your SAP administrator or partner for the size of your company database
- For Business One on SQL Server, the size can be read in SQL Server Management Studio (database Properties → Size)
- Note the database size and how many years of data it covers
Record the company database size; SAP doesn't show this in the normal user screens, so it usually comes from your administrator or partner.
How to get a copy of your SAP data
- Sign in to SAP Business One with Excel export authorization
- Open the record list or report you need
- Set the filters or date range
- Click the MS-EXCEL icon in the toolbar
- Save the Excel file
SAP has many products, so the steps vary. In SAP Business One you can export nearly any open record or report to Microsoft Excel, Word or PDF with the MS-EXCEL icon in the toolbar. Larger or full exports are usually run by your administrator or SAP partner.
Excel export depends on user authorizations, so the option may be greyed out until an administrator grants it. Exports from the screen only cover the data shown.
These instructions are written by DataFrenzy from each vendor’s public help pages. Menu names can vary by plan and change over time; the official link on each guide is the final word. Screenshots come from each vendor’s own help pages and videos or, where noted, from third-party tutorials credited under the image; dashed outlines are illustrations, not screenshots. Looking up a size or preparing an export never sends anything to DataFrenzy.
