Data guides
Smartsheet: see how much data you have, then export it.
Pick a system to see two things: how to check how much data is in it, and how to export a copy. No form, no sign-in.

How to see how much data is in Smartsheet
- Sign in to Smartsheet as a System Admin
- Open Admin Center
- Go to Plan Insights → Plan Usage
- Note the Total assets figure and the counts of sheets, reports and dashboards
Smartsheet shows asset counts, not storage used; record the number of sheets, and note attachment size isn't reported anywhere.

How to get a copy of your Smartsheet data
- Go to Home → Workspaces and select the workspace
- Open the three-dot menu and choose Back up now
- Tick Include attachments and click OK
- When it's ready, choose View recent backups
- Click Download Backup
On Business and Enterprise plans, open a workspace's three-dot menu and choose Back up now, with Include attachments ticked. Download it later from View recent backups.
Backups hold sheet data, comments and attachments but not reports, dashboards, formulas or workflows. Download them within the window (30 days in the US, 7 in the EU).
These instructions are written by DataFrenzy from each vendor’s public help pages. Menu names can vary by plan and change over time; the official link on each guide is the final word. Screenshots come from each vendor’s own help pages and videos or, where noted, from third-party tutorials credited under the image; dashed outlines are illustrations, not screenshots. Looking up a size or preparing an export never sends anything to DataFrenzy.
