How to see how much data is in Webex

  1. Sign in to Control Hub (admin.webex.com) as a full admin
  2. Go to Reports → Classic Reports and pick your Meetings site
  3. Under Common Reports, open Storage Usage
  4. Note the total recording storage used and the storage used by each host
  5. If Storage Usage is not listed, use Webex Site Administration → Reports → Common → Storage Usage

Record total recording storage used; it includes MP4 and ARF recordings, uploads and recordings in trash, but not Webex App messages and files, which have no storage page.

Webex’s official instructions

How to get a copy of your Webex data

  1. Have another full admin give you the Compliance Officer role
  2. In Control Hub, go to Troubleshooting → Status → View eDiscovery
  3. Choose Search Webex Messages, enter the users' emails and a date range
  4. Click Search & Generate Report
  5. Download the report (CSV summary or ZIP of EML files) within 10 days

A user with the Compliance Officer role (assigned by a full admin) can export messages and shared files from Control Hub → Troubleshooting → Status → View eDiscovery. Reports download as a CSV summary or a ZIP of EML files.

Without Pro Pack, eDiscovery only searches content from the last 90 days, and finished reports expire after 10 days, so download them promptly.

Webex’s official export instructions

These instructions are written by DataFrenzy from each vendor’s public help pages. Menu names can vary by plan and change over time; the official link on each guide is the final word. Screenshots come from each vendor’s own help pages and videos or, where noted, from third-party tutorials credited under the image; dashed outlines are illustrations, not screenshots. Looking up a size or preparing an export never sends anything to DataFrenzy.
