How to see how much data is in Workday

  1. Sign in to Workday as an HR or reporting administrator
  2. Search for and run the Headcount report (or another Workday Standard Report in the Positions and Headcount category)
  3. Note active, inactive and contingent worker counts
  4. Also note the earliest hire or effective date you need to keep

Record worker headcount (including terminated workers you must retain) and years of history; Workday shows no storage figure to customers.

How to get a copy of your Workday data

  1. Sign in with a role that can run reports
  2. Open the report you need
  3. Click the Export to Excel icon on the report page
  4. For recurring or large files, schedule the custom report and pick Excel, PDF or CSV output
  5. Download the file

Users with report access can download a report with the Export to Excel icon on the report page, or schedule a custom report to deliver Excel, PDF or CSV output. Your Workday security administrator controls who can export.

Very large reports are switched to CSV automatically, and worker records hold pay and personal data that should be reviewed before sharing.

Workday’s official export instructions

These instructions are written by DataFrenzy from each vendor’s public help pages. Menu names can vary by plan and change over time; the official link on each guide is the final word. Screenshots come from each vendor’s own help pages and videos or, where noted, from third-party tutorials credited under the image; dashed outlines are illustrations, not screenshots. Looking up a size or preparing an export never sends anything to DataFrenzy.
