How to see how much data is in Xero

  1. Sign in to Xero
  2. Open the Contacts list and note the total number of contacts
  3. Open Business → Invoices and Bills and note the counts on each tab
  4. Open Files to see how many documents are stored

Xero has no storage meter; record counts of contacts, invoices and bills plus the number of years of history instead.

How to get a copy of your Xero data

  1. Sign in to Xero as an administrator
  2. In the Reporting menu, select All reports
  3. Open each report you need (e.g. Account Transactions, Balance Sheet, Profit and Loss, Trial Balance)
  4. Click Export and choose Excel or PDF
  5. Also export your chart of accounts, contacts, invoices, bills and fixed assets from their own screens

Export reports and transactions as CSV or Excel from each report, or use the general ledger export.

Attached files are downloaded per transaction.

Xero’s official export instructions

These instructions are written by DataFrenzy from each vendor’s public help pages. Menu names can vary by plan and change over time; the official link on each guide is the final word. Screenshots come from each vendor’s own help pages and videos or, where noted, from third-party tutorials credited under the image; dashed outlines are illustrations, not screenshots. Looking up a size or preparing an export never sends anything to DataFrenzy.
